About the Project
RehashCloud is a SaaS platform designed to simplify high-volume email management using AI-generated contextual responses within ongoing email threads. The product targets professionals and businesses who struggle with email overload, response fatigue, and inconsistent communication quality.My role as the UI/UX Designer was to design an intelligent yet familiar email experience one that enhances productivity without overwhelming users with AI complexity. The goal was to seamlessly integrate AI assistance into existing email habits while maintaining user control, trust, and clarity.

The Challenge
Professionals receive hundreds of emails daily, leading to slow response times, cognitive overload, and inconsistent messaging. Existing tools either lacked intelligence or introduced AI in ways that felt intrusive and difficult to trust. The core challenge was designing an AI-driven experience that felt natural, reliable, and efficient—without forcing users to relearn how they manage email.

Immersion & Research
Understanding real-world email behavior and AI expectations
To ground the design in real user needs, I conducted focused research and analysis:
Interviewed professionals dealing with high email volumes and tight response deadlines
Analyzed competing email tools and AI assistants to identify UX gaps
Mapped user journeys across long, multi-participant email threads
Identified key pain points: response fatigue, lack of context, and poor prioritization
Studied trust factors affecting AI adoption in professional communication
This phase clarified that users wanted AI assistance, not AI dominance.

UX Strategy & Design Approach
Balancing intelligence with user control
The design strategy focused on making AI feel like a silent assistant rather than a decision-maker:
Designed context-aware AI reply suggestions embedded directly in email threads
Created clean, structured layouts for long conversations to improve scannability
Introduced quick-action buttons (approve, schedule, follow-up) to reduce clicks
Enabled tone customization (formal, casual, concise) for AI-generated replies
Maintained familiar email interaction patterns to reduce learning curves
Every decision prioritized clarity, speed, and trust.

Wireframing, Prototyping & Testing
Iterative validation to reduce friction
I translated insights into low- and high-fidelity prototypes, followed by iterative usability testing:
Designed wireframes that clearly separated AI suggestions from user-written content
Tested multiple AI placement options to avoid cognitive overload
Refined interaction flows based on task completion speed and user confidence
Improved accessibility, contrast, and readability for long usage sessions
Ensured AI suggestions enhanced—not interrupted—the user workflow
Testing confirmed that subtle AI integration increased productivity without resistance.
